Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Microsoft accounts cannot be merged, but one of the two can be closed after moving anything important off it.
Before deleting an account, ensure there is no data, subscriptions, or purchases that need to be kept, because these cannot be transferred to another Microsoft account.
To keep using both email addresses under one sign-in instead of deleting:
- Sign in to the Microsoft account that will be kept at https://account.live.com.
- Go to Your info → Sign-in preferences or Manage how you sign in.
- Use Add email to add the other address as an alias if it is not already tied to another Microsoft account.
- After adding, select Make primary on the email address that should be the main sign-in.
If the goal is to free one email address from its current Microsoft account so it can be reused on the other:
- Sign in to the Microsoft account that currently uses the email address to be freed.
- Go to Manage how you sign in.
- Add a new alias (for example, a new outlook.com address) and Make primary.
- Then select Remove next to the old email alias.
- Important: If the removed alias is from a Microsoft domain (like @hotmail.com, @live.com, @outlook.com, or @msn.com), it is permanently deleted and cannot be associated with any Microsoft account again.
- If it is from a non-Microsoft domain (like @gmail.com), it usually becomes immediately available to be added as an alias on another Microsoft account.
After freeing the non-Microsoft email and confirming there is no data or purchases needed on that account, the entire Microsoft account can be closed using the standard account-closure process (not detailed in the context but referenced in the Q&A: close the unneeded Microsoft account after removing its aliases and moving any data).
If there are two accounts that share the same email address (work/school and personal) and the goal is to stop the “Which account do you want to use?” prompt, rename the personal Microsoft account:
- Go to Manage how you sign in for the personal account.
- Add a new email alias or choose an existing one.
- Select Make primary on the new alias. This removes the conflict while keeping both accounts separate.
