Any recommendations on fixing the Outlook Print preview

When attempting to view an email in Print Preview via File > Print, the preview appears to be significantly shrunk.

I’ve already tried adjusting the margins to 1.30 cm, but the issue persists.

Is there a workaround or fix for this?

    Hi @Nishith Konchady

It sounds like the behavior you’re seeing in Outlook Classic is more often tied to print style settings, scaling, or printer driver/rendering issues rather than margins alone. Since adjusting margins didn’t resolve the issue, here are a few steps you can try:

    1.Check print scaling

    -Go to File > Print

-Under Settings, ensure Memo Style is selected

-Click Print Options > click Page Setup... > Check:

    • Paper tab: confirm the correct paper size (e.g., A4)
    • Margins tab: leave defaults for testing

    2.Reset Memo Style

Go to File > Print > Print Options > Define Styles > Select Memo Style > Reset

3.Test with another Printer / PDF

-In File > Print, switch printer to Microsoft Print to PDF > Check if preview still appears shrunk.

-If the issue disappears, it’s likely a printer driver scaling issue. Outdated drivers often cause scaling anomalies, so try:

    • Download latest driver from manufacturer
    • Reinstall or update existing driver

4.Try opening the same email in Outlook on the web and print from there, if preview is normal, the issue is specific to Outlook Classic client.

Please know that while our initial response might not resolve the issue right away, your input is incredibly valuable. With a bit more detail, we’ll work together to find the best solution for you.

In classic Outlook, print preview size is controlled by the print style and printer settings rather than just margins. To work around a “shrunk” preview, adjust the print style and page settings from the Print dialog instead of only changing margins:

    1. Open the message, then select File > Print.
    2. In the Print view, select Print Options.
    3. Under Print style, choose Memo Style (for standard emails) or Table Style (for lists) as appropriate, then select Page Setup.
    4. In Page Setup, review:
      • Paper and Orientation (Portrait/Landscape) to match the content.
      • Format options such as header/footer and any scaling options exposed by the printer driver.
    5. Under Printer, select Properties and check for any printer-specific scaling (e.g., “Fit to page,” “Reduce/Enlarge,” or custom zoom). Disable or set to 100% so Outlook does not shrink the content.
    6. Back in Print Options, confirm Page range and Copies are correct, then use Preview to verify the size before printing.

If only a specific section of the message looks small, use the browser-based method to print just that section at normal size:

    1. Open the message.
    2. On the Message tab, in the Move group, select More Move Actions > View in Browser.
    3. In the browser, select the text/section to print.
    4. Use the browser’s Print command, choose Selection under Page Range, and print. This uses the browser’s print scaling instead of Outlook’s.

These steps rely on Outlook’s combined Print and Preview window and the detailed print style settings, which control how large the content appears on the page.
