Problem with notifications in incoming calls, messages + screen sharing button becomes fully grey (not editable) in New Teams desktop app

When someone calls me in teams, nothing pops up and I only see it in activity section as a missing call after they called me. In addition, when someone messages me, I don't see it as a pop-up message notification + I don't receive any sound notifications. Lastly, when I share my screen in a call, small section at the bottom right of the screen is all greyed out and not editable, I think this is also relevant to notification problem I have mentioned above. I tried almost everything (cache cleaning, windows and teams notification settings etc.) It is only fixed when I uninstall and install teams but when I reboot next day it becomes the same, please help me with this issue since I have been experiencing this issue almost for 5 months. Note: I use my personal laptop and use a corporate account in Teams.

    Hi @KY,

Thank you for posting your question in the Microsoft Q&A forum and for sharing these details. I can understand how disruptive this issue is, especially since reinstalling Teams temporarily resolves the problem, only for it to return after a reboot.

Because you’re using the new Teams desktop app on a personal device while signed in with a corporate account, I recommend reviewing the following steps in order, as they address the most common causes of this behavior:

1/ Recheck Teams’ in‑app notification settings (banners and sounds):

Start by confirming that notifications are correctly enabled within Teams:

    • In Teams, go to Settings (…) > Notifications and activity
    • Make sure Mute all notifications (except for calls and meetings) is turned off
    • Enable Play sounds with notifications (or at least Play sound with incoming calls, requests to join, and meeting start notifications)
    • Turn on Show message and content previews in notifications if you expect pop‑up banners

Microsoft documents these notification options, including sound behavior and banner placement, here: Manage notifications in Microsoft Teams.

That same page also mentions a “Test notification” option, which is useful to confirm whether Teams can trigger a banner or sound at all after you make changes.

2/ Fully clear the New Teams client cache (not just reinstall):

Since reinstalling helps only briefly, this often indicates that the app’s cache or local state becomes corrupted again after sign‑in or background updates.

Microsoft provides supported instructions for clearing the cache for the new Teams on Windows here: Clear the Teams client cache.

Please note that after clearing the cache, the first restart may take a little longer while the cache is rebuilt.

3/ Confirm Windows allows Teams notifications:

Even if Teams itself is configured correctly, Windows can still suppress banners or sounds at the operating system level. Please verify that Teams notifications are allowed in Windows settings and that Focus Assist / Do Not Disturb isn’t silencing them.

This is especially relevant because your symptoms, such as missed calls appearing only in the Activity feed, are commonly seen when toast notifications are blocked.

4/ Regarding the greyed‑out or unresponsive screen‑sharing controls:

If parts of the screen‑sharing toolbar appear greyed out or unresponsive, this can be caused by either:

    • A temporary Teams client UI issue (often improved after clearing the cache)
    • Or a policy or permission restriction applied to your corporate account (some organizations limit screen sharing or presenter capabilities)

Since you’re signed in with a corporate account, if the issue continues after completing the cache reset, I recommend contacting your IT administrator and asking them to confirm there are no organizational policies affecting:

    • Teams notification delivery
    • And meeting, calling, or screen‑sharing permissions for your account or device

    5/ Optional workaround while troubleshooting:

As a short‑term workaround, you may also try using Teams on the web. This can help determine whether the issue is specific to the desktop client or related to your account or policies.

I hope these steps are helpful. Please try them and let me know how it goes. If the issue persists, we can continue working through this together to find a solution.

Thank you for your patience and understanding. If you have any questions or need further assistance, please don’t hesitate to reach out. I’ll be glad to continue supporting you.

I look forward to continuing the conversation.
