Microsoft Forms Response Limit

I am writing to inquire about an issue I am facing with Microsoft Forms. I created a survey using my personal Outlook account to collect responses from members of the general public in Saudi Arabia for research purposes. The survey link was shared publicly, and I have now reached the maximum limit of 200 responses.

At this point, the form has stopped accepting new responses, and participants receive a message stating that the maximum number of responses has been reached. Unfortunately, since the survey was shared with the public, I do not have access to participants’ email addresses, and it is very difficult to redirect them to a new link or recreate the survey without losing additional responses.

I would like to kindly ask if there is any possible solution or exception in this case, such as:

  • Reopening the same form to accept additional responses
  • Increasing the response limit for this form
  • Converting or transferring the form to a different account type
  • Any alternative workaround that would allow continued data collection using the same link

I fully understand that personal Microsoft accounts have standard limitations, but I wanted to check if there is any flexibility or supported option available for research-related data collection.

Thank you very much for your time and support. I would truly appreciate any guidance you can provide.

Unfortunately, Microsoft Forms has specific limitations that cannot be adjusted for individual users. For personal Microsoft accounts, each form can receive up to 200 responses. Once this limit is reached, the form will stop accepting new responses, and there is no option to increase this limit or reopen the same form for additional responses.

Here are some options you might consider:

    • Export Existing Responses: You can export the current responses to an Excel workbook and then clear the responses from the form. This will allow you to collect new responses once the form is cleared.
    • Create a New Form: If you need to continue collecting data, you will have to create a new form. You can share the new link with your participants, but you may need to find a way to inform them of the change since you do not have their email addresses.
    • Upgrade Account: If you frequently need to collect more responses, consider upgrading to a Microsoft 365 plan that allows for higher response limits (up to 50,000 responses for business accounts).

Unfortunately, there are no exceptions or flexibility in the response limits for research-related data collection using personal accounts.
